What is a specification sheet?

A project plan drawn up by the contractor to fulfill the client's specifications is referred to as a functional specification. The conformity of the requirements and functional specifications is essential for the subsequent acceptance of the development.

The requirements specification defines the customer's requirements and the functional specification therefore represents a solution approach to those requirements; it is the contractual basis for agreement between the customer and the provider.

The specifications usually consist of four parts:

  • Description of the requirements
  • Who participates in the development and is responsible for which task?
  • What are the requirements?
  • How and by when should the implementation take place?

The following procedure should be followed to create a specification sheet:

  1. Documentation of the initial situation and definition of objectives
  2. Describe the process flows and their strengths and weaknesses.
  3. Creation of a target concept that describes the client's requirements
  4. Description starting with the technical structure
  5. Creation of a tabular overview of the most important data, notes and comments
  6. Adding documents, flowcharts and checklists to the appendix of the specifications
